Event Coordinator (m/f)

We are looking for a talented event coordinator to take charge of our international conferences, exhibitions and trade shows and our annual user conference. Your role is attached to our busy communications team, which you will join at an exciting time.

Our calendar is packed with aerospace and aviation events all over the world; due to the volume and geography of the events, the majority are managed remotely from our Berlin office, but a willingness to travel internationally is expected.

Tasks & Responsibilities

  • Manage our conferences, trade shows and exhibitions from A to Z. This includes researching suitable exhibitor and speaking opportunities, booking and planning exhibition stands, handling abstract and paper submissions and shipping booth equipment and marketing collateral
  • Act as the single point of contact for conference organizers, caterers, photographers and other suppliers, monitoring relevant budgets and deadlines
  • Work closely with sales teams, subject matter experts and other internal stakeholders at all our international sites
  • Take full responsibility for our annual user conference (140+ participants), from delegate and speaker management to post-conference reporting
  • Collaborate with the communications team to create appealing conference materials, online and offline promotions and booth equipment

Ideal Candidate

  • Effective organizer with 3-4 years of experience in planning and executing international B2B events, preferably related to engineering or information technology
  • Proven track record as the day-to-day lead on a variety of event formats
  • Affinity with high-tech and engineering
  • Excellent verbal and written English language skills (C1-level proficiency or higher); fluency in Italian or German a plus
  • Strong project management skills, comfortable with taking responsibility and using their initiative to get results
  • Proficiency in Microsoft Office applications and hands-on experience with content management systems such as Typo3 or WordPress
  • Bonus points for Adobe Creative Suite skills and/or driver’s license
